The Essentials of a Successful Event Planner:

Excellent oversight of a project as a whole. Event planning is challenging in that successful event planners must have both big-picture and small-picture abilities. In other words, while planning an event for thousands and conceiving an overarching design, a planner must also manage literally hundreds of details.

Astute timeline management abilities. Event planners must coordinate dozens and dozens of details that must all come together at the right time. One missed cue—for instance, what to do when a chairman goes missing, the wrong meal is brought out for dinner, or the food signs are incorrect and attendees have dietary restrictions—can crash the event if you don’t know what you are doing.

Vendor negotiations. Skills to negotiate money-saving deals for clients.

  • Perform site visits to locations approved by clients – hotel, tours, dinner locations, etc.
  • Recommend hotel and programs to clients
  • Negotiate hotel and tour contracts and present for signature
  • Set up schedule, hotel meetings space, association concessions, optional events
  • Confirm logistics, food & beverage, etc.
  • Provide event budgets prior to and including final budget/financials after event
  • Continuous communication with client
  • Develop, manage and oversee event brochures, marketing, and mobile app
  • Mobile app content management
  • Manage events on-site
  • Transition live events to virtual events or handle hybrid events
  • Understand what it takes to minimize virus exposure to exhibitors and/or attendees at on-site events
  • Association Services can staff a booth at industry trade shows and conventions on behalf of your organization
  • Association Services can participate in industry initiatives on behalf of your organization
  • Resolve any on-site issues expediently without attendee/event disruption
